Job Overview and RequirementsThis role is for you if you are excited to help set up our new office in Baltimore, MD. We are looking for a self-starter who enjoys taking on new tasks and filling in gaps as they are noticed. If you are operations-minded and love taking on new challenges, this job is for you.Operations Manager ResponsibilitiesProcess new contracts from start to finish by completing all assigned tasks, including sending out documents, entering data into Company CRM, communicating with clients regarding deadlines, ordering title, and scheduling a time and room for closing.Regularly and accurately enter data into company CRM and spreadsheets; provide additional quality assurance for data entered by Buyer Agent Specialist (BAS).Create and maintain organized files in G Drive on each client and transaction.Prepare Open House materials for BAS, including printing MLS sheets and mortgage flyers, creating property handouts, and gathering any required collateral.Respond to BAS, client, lender, and vendor emails, phone calls, and text messages.Assist BAS and clients with resolving issues that arise during a transaction.Provide coverage for other Buyer Team Administrators as necessary.Complete and assign tasks associated with receiving a client review.Assist BAS with cleaning out dead leads in pipeline.Prepare Open House statistics and other requested reports for Sales Managers on a weekly basis.Assist with establishing office operations.Schedule company meetings.Serve on the Culture Committee.Additional ResponsibilitiesComplete any assigned tasks from voluntary committee work.Maintain and update passwords in a secure document.Research and distribute relevant industry articles to assigned BAS.Remind BAS to take picture with client at the closing table and email picture to Marketing department.Assist BAS with property searches for clients upon request.Print buyer consult packet and prepare any other necessary materials for BAS to meet with clients upon request.Update timesheet weekly for accurate time keeping reporting.Comply with all company and policies and procedures.Remain current in profession and industry trends.Volunteer 50 hours per year.Carry out duties in compliance with all federal and state regulations and guidelines.Comply with all company and site policies and procedures.Remain current in profession and industry trends.Be available for other duties as required.Qualifications (Education and/or Experience)High School diploma plus two years of experience in a professional setting. One year experience working in a real estate office.Other Skills, Abilities or QualificationsTech-savvy and familiar with CRM and real estate applications, such as TREND MLS, Cooper, Zillow and Trulia, as well as mobile technology.Ability to work under pressure and solve problems independently.Excellent communication skills and the ability to network in order to build your business.Great interpersonal and customer service skills that align with our mission and values.Strong project management skills and strong attention to detail.The flexibility to adapt to changing priorities and client needs.Successfully complete any regulatory and job training requirements.Enter data accurately into a computer using software applications for data entry and word processing as assigned by the company.Advanced expertise in using the Google Suite of applications.Ability to perform repetitive tasks while maintaining speed of work and attention to detail without loss to production.Ability to work with others in a team environment.Physical DemandsWhile performing the duties of this job, the employee is frequently required to sit, stand, walk, handle or feel, reach with hands and arms, and talk or hear.--The employee must occasionally lift and/or move up to 20 pounds.--Specific vision abilities required by this job include close vision and the ability to adjust focus.BenefitsMedical coverage with a $320 contribution to the Houwzer plan of your choice.$10,000 in life insurance.Option to buy into vision, dental, short-term disability, and supplemental life insurance at group rates.--Retirement savings account through Guideline.Pre-tax commuter benefits for transportation and parking.Opportunities for professional development.Flexible Paid Time Off policy (no maximum on the number of days off) and eight observed holidays.Diversity & InclusionAt Houwzer, we have set out to become the best real estate company in, and for, the world.
